Selling Packages - Clients Book Calendar Spots

For some businesses it is easier and more convenient for you (the site owner) to collect payments and then work out a schedule for coaching. Other businesses may prefer to sell a package "store credit", and then let their clients book each session one at a time using their websites calendar. 

This tutorial covers how to sell credit and how to let your customers redeem that credit for your bookable products.

It's assumed that you already completed these tutorials:

Setup Packages (store credit)

Previously you setup bookable products. These are items you can put on a calendar.  However if you want to sell a set of 12 sessions you can't put those on a calendar all at once so instead we're going to sell people a credit that can be used for 12 sessions (or whatever you choose).

From your main admin menu under "Products" select "add new".

Setup a Store Credit Item

  1. Under Marketing -> Coupons click to "add new"
  2. Call the item coaching_credit or whatever makes sense for you
  3. under General -> Discount type choose "Store Credit"
  4. Coupon amount 0
  5. Valid for (choose how long you want people's credit to last... leave blank if you don't want it to expire. I think 1 year is reasonable.
  6. Coupon value same as product price (check this option)
  7. Under Actions you'll see "Display Message". You can give people instructions here on how they should use there package credit. For example, if people should redeem their credit for one hour coaching calls, let's add a link to the 1hr call product. Open up a new tab, go under products and hover over your bookable product. Click "view"... and copy that link. Back under display message say something like, " Thanks for purchasing a coaching package. When you're ready to book a session follow this link: XXXXXXX to schedule.      If you'd prefer to manage your bookings manually for your paid clients you could instead give them instructions like, "Email me here: XXXXXX and we'll figure out an ongoing time that works for both our schedules"

Setup the Package Product

Back under Products click "add  new"

Create a product called "Coaching Packages" or whatever makes sense for you

  • Give a general description in the main box 
  • General Tab: Coupons: type in the store credit coupon name you came up with above.
  • add a nice looking product image in the right hand sidebar

Variable vs Simple products -- if you're selling one package that is always the same price then choose simple. If you want to sell packages with different attributes like (number of sessions) choose variable

Variable Product

  • For variable sessions amount go under attributes and add a new attribute called "Number of Session" under value enter: 6 | 12 | 24 ( separate your values by |)
  • For variable Session count now go under Variations and choose add variations from attributes and "go".
  • For each variation setup the price and details. If the package is for 12 sessions, the value of the credit should be the cost of your bookable 1hr session X 12. The sale price is the discounted rate for the package. For example: Your 1hr session costs $100. A 12 session package credit is worth $1200 so you enter the price as $1200. However, you want people to have a discount so you enter the sale price as $800. This allows people to pay $800 for a $1200 credit.
  • Under each variation make sure to click the "virtual" and "downloadable" checkboxes

Simple Product

  • If the package is for 12 sessions, the value of the credit should be the cost of your bookable 1hr session X 12. The sale price is the discounted rate for the package. For example: Your 1hr session costs $100. A 12 session package credit is worth $1200 so you enter the price as $1200. However, you want people to have a discount for buying the packageso you enter the sale price as $800. This allows people to pay $800 for a $1200 credit. 
  • make sure to click the "virtual" and "downloadable" checkboxes

Add products to your pricing table

Now that you have a package to sell, make sure to add it to your pricing page. 

  1. In a new tab go under the Products admin menu, find your products, right click or command click on "view" and copy the link.
  2. In a new tab go under Pages -> Pricing/ Services  click edit
  3. Take your link and paste it into the call to action buttons on the pricing page.
  4. If you only want people to purchase packages, only add links for packages, not your individual bookable sessions
  5. If your homepage has a pricing table, it is most likely saved as a re-usable block and should automatically mirror your changes on the pricing page.

Booking Clients and Managing package credit

Booking Clients

  1. Send customers to your pricing page
  2. They'll checkout with your Coaching Package store credit item
  3. When setting up the store credit you should have given them a link to your individual bookable items(1hr coaching call) in the coupon description
  4. After checkout they'll get a confirmation email with the link to book their session(s).
  5. They can add multiple sessions to their cart at once
  6. On the checkout page they'll see their store credit and can click to apply it
  7. They'll checkout and if they have available credit the charge will be $0


Manually Making a Booking for a customer

  1. To manually add a "booking" go under Booking and click "add booking".
  2.  Choose your customer, the date and time and choose the option to create a new order. It will bring you to the new order you just created. 
  3. Just under "Payment Status" right click/ command click on "view other orders" and open that link in a new tab. 
  4. Go to their first order, open it, and scroll down until you see "Coupon Sent". Copy that coupon code, take it back to the order you just created.
  5.  In the bottom left click "apply coupon". You should see the package credit be used.
  6.  Change the order status to "Complete" and click "update".

Rescheduling

  1. Under Bookings click on "all bookings"
  2. find the booking you want to re-schedule and click on it
  3. Under Booking Date and Time change the date/time 
  4. Click "Save Booking"

Refunding package/ store credit

  1. Most of the time if a meeting is cancelled it's better just to reschedule it. 
  2. Under WooCommerce click on Orders
  3. Search for the customer, Go to their first order, open it
  4.  scroll down until you see "Coupon Sent". Copy that coupon code
  5. Go under Marketing -> Coupons
  6. Search for that coupon code
  7. Edit the coupon balance to reflect the refund.
